BASED IN SYDNEY AUSTRALIA and reporting to the Associate Director, Programming, the Program Manager is a multi-faceted role that, deliver quality vision care services to the OneSight patients. In this role the successful candidate is responsible for planning and executing Regional and Local Vision Clinics. Execution involves managing program partners and coordinating teams of volunteers, requiring superior planning skills. The Program Manager successfully leads all aspects of planning and executing their programs, while collaborating to support marketing, engagement, and fundraising components of the role.

Principle job responsibilities

Programming

Manage planning and delivery of local and regional clinic programs from start to finish. Work both strategically and hands on to deliver assigned OneSight clinics.

Local Clinic Program

  • Conduct local clinic Leader training in AUS and NZ as required.
  • Engage and coordinate Local Clinic Leaders to conduct clinics.
  • Manager Local Clinic Calendar.
  • Lead engagement with schools and other organizations.
  • Advocate for local clinic volunteering.

Regional Clinic Program

  • Develop, manage, and maintain relationships with key in-community stakeholders
  • Coordinate clinic teams including timely delivery of clinic information and appropriate training and orientation during clinic.
  • Manage clinic logistics planning, including travel, accommodations, equipment delivery and shipping as required.
  • Manage clinic operations including cloud system, product allocations, patient records clinic set up/flow, daily clinic volunteer briefing.
  • Manage post-clinic reporting including budget reports and follow ups with clinic partners.
  • Follow through vouchers/referrals and collect and volunteer and beneficiary stories for media sharing.
  • Managing clinic fundraising and ensuring each clinic team member is meeting their fundraising targets.
  • Support planning of yearly clinic program.

Marketing and Engagement

 Manage and support activities that bring awareness to OneSight’s work by building and delivering strong messaging to internal and external stakeholders through media and building of community relationships.

 Manage the EssilorLuxottica OneSight SharePoint Page including regular updates of content, creating news items, and promoting all OneSight global campaigns and EssilorLuxottica specific campaigns.

  • Create and Manage content for internal & external stakeholders for internal and external EssilorLuxottica campaigns such as Eye[Chat] and internal brand newsletters.
  • Manage internal and external stakeholder relationships across EssilorLuxottica support office teams and store teams, Clinic and Program volunteers, clinic partners, charity partners and OneSight global teams.
  • Manage OneSight inbox responding in a timely manner to all requests for vision vouchers.
  • Create and maintain relationships with OPSM & L&P Store managers/staff, schools, and charity partners to execute Vision Voucher program.
  • Work with EssilorLuxottica stakeholders to maintain an active volunteer base.
  • Represent the organization at industry events to enhance the organization’s profile.
  • Assist with set up and management of annual clinic application process including all staff communications, tracking applications and clinic team allocations and announcements.

Fundraising and Development

Support the ANZ Team to maintain and expand current funding sources within EssilorLuxottica ANZ.

  • Research and increase the organizations funds via external sources such as government programs and philanthropic grants.
  • Execute global fundraising campaigns locally with EssilorLuxottica communications, marketing, and HR teams as appropriate.
  • Support EssilorLuxottica ANZ fundraising events and campaigns with provision of OneSight staff, fundraising equipment, expertise, product, and fundraising administration to ensure compliance.
  • Provide regular reporting on the ANZ fundraising & donor results to Associate Director of Programming, MEEAP.

As both a manager and hands-on role the Program Manager will be responsible for supporting these additional activities. 

  • Ensure compliance with all legislation covering taxation, charity compliance (ACNC) & State based Fundraising Licenses by completing annual reporting and timely compliance to all required including OneSight board updates.
  • Maintaining insurance policies including yearly updates and payments,
  • Support external auditors and EssilorLuxottica finance team to provide required evidence, reports, and responses for audits.
  • Manage all banking, transactions, record keeping and reporting to ensure compliance with state and federal requirements and to ensure evidence available for annual audits.
  • Managing payment of invoices.
  • Manage Vision Voucher program.
  • Maintain clinic equipment & asset lists.
  • Manage and coordinate inventory and shipping of product, equipment, volunteer attire etc.
  • Manage & maintain all OneSight equipment, stock, etc. currently located in the EssilorLuxottica Support office and 3PL.

educational requirements

  • Bachelor/Undergraduate degree in related field of study.
  • 3 -5 years’ experience working in a not-for-profit
  • Eye Health or Vision Care experience preferred.

knowledge and skills required

  • SAP, Salesforce, Microsoft Word, and Excel proficiency
  • Proven ability to complete projects on time. Project Management with multiple projects going simultaneously.
  • Strong cultural acuity and ability to work effectively across diverse global populations, including ability to manage language translations, build high level relationships and work across multiple time zones
  • Effective listening, problem-solving and consulting skills

travel requirements

  • This position will be based in the Sydney Australia area.
  • Travel in the range of 50% – 75% is common and can be local and regional.
  • COVID-19 Vaccination is required.
